Quick Look: AGM's Calendar Management & Automation Features

Tired of playing calendar Tetris? Aka, the not-so-fun game of shuffling appointments, staff assignments, and numerous apps just to stay on top of your schedule.

The AGM Calendar is packed with features and automations that will simplify all of these processes. Below are just a few:

View, Add, Edit, or Delete Calendar Entries

You have full control over your calendar within AGM, and you can also connect it to other workflows in your dashboard. Here are some examples:

     Need to add a new booking? Just navigate to the open date you want and enter the client's details right in the calendar. If they're already in your customer database, autofill does the rest.

     Has a client rescheduled their install due to weather? Tap into their existing calendar booking and seamlessly update the new project date and crew assignment.

     You can do the same for canceled installations. And, you can also set what happens after you delete a booking, such as triggering notifications to the crew, updating the client's form, or moving the client into the relevant sales funnel.

     You can also change the status of each booking accordingly using tags. For instance, tag finished installations as "Completed," then set it to trigger other updates such as Revenue, etc.

Little efficiencies like these add up to smoother daily operations, less admin hassle, and more time focused on client lawn upgrades.

Create Unlimited Custom Calendars

Want to see how many putting green installations you've scheduled for the month? Maybe you want to view all your upcoming commercial projects instead, or how many clients have book initial consultations within a given timeframe.

You can easily set up a calendar for each one, organized by group or category. For instance, you can create a group titled "Residential Installations," and within that group, you can have separate calendars for "pet installations," "lawns," and "backyard putting greens."

This allows you to get really granular with your calendar management, while still getting a consolidated view as needed.

Embed Smart Calendars Into Your Website

Tired of playing phone or email tag with potential clients? Let them schedule their own appointments instead via dynamic calendars right on your website.

Each calendar you create on AGM comes with a unique widget link. This allows you to embed calendars on your website, funnel forms, a landing page, or even newsletters.

The embedded calendar will show your available days/times per set rules (more on that below). Prospects can then book their own appointments, subject to your approval.

Confirmed appointments automatically sync to the matched AGM calendar, including all captured information.

Set Availability Parameters for Your Calendars

To give you more control over your schedule, you can also adjust parameters so your calendar shows exactly when you are and aren't available. For instance, you can:

     Set Office Hours - Establish your normal calendar operation times for client appointments based on staff availability.

     Mark Time Off - Block off dates on your calendar like holidays, vacations, or lunch hours when booking is disabled.

     Limit Daily Slots - Specify the maximum number of appointments per day based on capacity.

     Require Appointment Buffer - Ensure a minimum gap between bookings to allow catch-up time.

Automatically Assign Bookings/Appointments

Cut out the manual meetings, emails, and calls to dispatch incoming bookings. AGM can use  workflows to automate team assignments based on your defined calendar rules.

While setting up your calendars, you'll have the option to assign one or more staff members to it. This will automatically add the booking to their own calendar.

For example, once a customer completes a booking request for a site consultation, AGM can automatically route and assign that appointment to any sales rep you select based on speciality, territory, availability or other rules you customize.

Intelligent Appointment Clash Checker

Every time a booking is added to a calendar, AGM will automatically scan all of your existing calendars to check for schedule conflicts. If there is, the booking will be routed to another team member.

So if Sales Rep A already has consultation booked Tuesday morning, and someone else tries booking an overlapping Tuesday appointment, the system simply assigns it to Sales Rep B, preventing any double-booking headache. Again, you can define your own rules for this process within the AGM app.
