AGM's Estimates Feature for Simplified Quoting

AGM’s Estimates feature lets you quickly create and share quotes with your clients before sending the final invoice. 

Your clients can easily accept or reject the estimate, and when accepted, you can convert it into an invoice in just a few clicks. This saves you time and helps you keep everything in one place:

How to Create an Estimate on AGM

Using AGM’s Estimates feature is straightforward. Here’s how you can start making quotes:

  1. Go to the Estimates Section
    Open the AGM dashboard, select the Payments tab, and click on Invoices and Estimates. Then, select Estimates.

  2. Enter Details
    Click on the New button and fill in the details: your business information, your customer’s name and contact info, and the estimate number. This is useful whether you're quoting a homeowner for a small backyard or a company for a large commercial space.

  3. Add Products and Services
    Add the products and services specific to the job. This could be turf for a front yard, installation services, or additional costs like excavation or drainage solutions. You can also add multiple turf options if your client wants to see different price points.

  4. Set an Expiry Date
    Choose an expiry date to ensure the estimate stays valid for a certain period. This is especially helpful if prices for turf materials or services are changing.

  5. Send the Estimate
    Once everything looks good, send the estimate to your client. You can send it by email or SMS, depending on what your client prefers.

What Happens After You Send an Estimate?

Once you send the estimate, your client can accept or reject it with the push of a button. This saves you from needing to follow up with multiple emails or phone calls to confirm details.

  • Accepted Estimates: When a client accepts an estimate, AGM will mark it as “Accepted” in your system. You can convert it into an invoice with one click.

  • Rejected Estimates: If the client rejects the estimate, they can add a note to explain why. This lets you adjust the quote and try again, without losing track of their feedback.

Let’s say you quoted a commercial job for installing turf on a sports field, but the client rejects it because they want a lower-cost option. 

They add a note asking for a simpler turf option. You can revise the estimate and send a new one immediately.

Converting Estimates into Invoices

Once a client accepts an estimate, you can convert it into an invoice in just a few steps. This keeps the process moving and reduces delays in getting paid.

  1. Find the Accepted Estimate
    Go to your dashboard and find the estimate marked as “Accepted.”

  2. Click "Convert to Invoice"
    With one click, you can turn the estimate into an invoice.

  3. Track Payments
    The dashboard lets you see all invoices and payments, so you always know who has paid and what is still outstanding.

Example:

For a residential turf job, once the homeowner accepts your estimate for a new front yard, you can convert the estimate into an invoice and send it for payment. The tracking feature ensures you won’t forget to follow up on any unpaid invoices.

Tracking and Managing Estimates in Real Time

AGM’s Estimates feature also helps you track all of your quotes in one place. Whether the estimate is in Draft, Sent, Accepted, or Declined status, you can see where everything stands.

  • Draft: Estimates you’re still working on.

  • Sent: Quotes that have been sent but are awaiting a response.

  • Accepted: Quotes that clients have approved.

  • Declined: Estimates that were rejected.

You can also keep an eye on the total value of your estimates, helping you plan for future income based on how many are likely to turn into invoices.

Example:

If you have four estimates sent out for upcoming jobs, but two haven’t been accepted yet, you can follow up with those clients to see if they need any adjustments or extra information. This increases your chances of closing more deals.
